A useful commercial-cleaning quote starts with the work the building needs. Square footage matters, but it does not describe traffic, floor materials, restroom use or the time available for cleaning. Sending the right details helps you compare providers against the same scope.

Provide the facility address, property type and approximate cleanable floor area. Identify which rooms and floors are included, which areas are restricted, and whether storage or unused areas need service. A floor plan can be helpful if you already have one, but a clear room list is a useful starting point.
List the floor materials, number of restrooms, shared kitchens and high-use spaces. Describe staff and visitor traffic and any buildup that needs attention before routine maintenance begins. A one-time reset and an ongoing janitorial visit may need different task lists and prices.
State the visits you want and the times when the cleaner can work. Include parking, keys, alarm instructions, escort requirements and any noise or security restrictions. A request for after-hours service should be reviewed against availability rather than assumed to be automatically confirmed.
Cleaning products and equipment, bin liners, soap and paper goods are different responsibilities. Say who provides each item and whether dispenser replenishment is part of the work. List carpet extraction, appliance interiors, construction residue or other non-routine requests separately.

Ask each provider to identify what happens every visit, what happens periodically and what is charged separately. Confirm whether the initial reset is included, how supplies are handled and what happens if the scope changes. Two monthly totals are not directly comparable if one covers different rooms, fewer visits or extra work.
